The CDS (Clinical Document Summary) Export Tool allows clinics to extract structured patient data in a standardized format. The tool exports data in XML format, compliant with OntarioMD guidelines, and can be used to transfer patient records to another EMR system. 

 

Prerequisites 

Before proceeding, ensure the following: 

  1. You have full access to the Administration Panel in Juno EMR (the admin role). 
  2. You are logged into Juno EMR. 
  3. You have an external storage device or secure folder prepared if you plan to save the data locally. 
  4. You understand your data privacy obligations (e.g., PHIPA compliance in Ontario). 

 

Steps to Export Patient Data 

Step 1: Select the Patients to Export 

  1. Access the Demographic Report Tool by clicking the Report tab from the top bar of the Juno UI, then find and click 11. Demographic Report Tool. 
  2. In the Demographic Report tool check mark the Demographic # field listed under the “Search For” heading.  
  3. To export all patients for a particular provider, check mark their Provider Number under the “Where” heading,  aligned with the “Provider No” field. 
  4. Click the Run Query button at the bottom of the page, then enter the name of the practitioner in the “Set Name” field and click the Save Patient Set button. 

Step 2: Navigate to the CDS Export Tool 

  1. If you are not currently viewing the Juno User Interface, click the Juno logo in the top left-hand corner of the EMR.  
  2. Click the Admin tab from the top menu bar. You may need to click the More tab to access the Admin tab.  
  3. From the left-hand menu in the Administration Panel, click Data Management 
  4. Select Demographic Export from the menu that appears below.  

Step 3: Select Export Parameters 

  1. Ensure the Export Type is set to CDS 5 and select the name of the practitioner you entered in the previous step under Patient Set. 
  2. Click the Select All button to export all patient data available in the CDS format or individually select the categories you would like to export. 

Step 4: Run the Export 

  1. Click the Run Export button to begin the export. 
  2. The system will begin processing the export and a progress bar will appear to show you how far along it is. This may take several minutes depending on the volume of the data. Do not close your browser or navigate away from the page while the export is running. 
  3. Once the export is complete it will either be downloaded automatically or you will be prompted to select a location to save the file and download it. 

Step 5: Encrypt the Downloaded File (Windows) 

  1. Install 7-Zip (if not already installed). Go to https://www.7-zip.org/ 
  2. Download and install the version appropriate for your system (usually 64-bit). 
  3. Right-click the downloaded CDS export file. 
  4. Hover over 7-Zip in the menu, then click Add to archive… 
  5. In the 7-zip dialog: 
    • Set Archive format to “zip” 
    • Under Encryption, enter a strong password 
    • Set Encryption method to “AES-256 
  6. Click OK. 
  • Your encrypted ZIP file will not be created alongside your original file. You can safely delete the unencrypted version if no longer needed. 

 

Step 5: Encrypt the Downloaded File (Mac) 

macOS does not include built-in GUI encryption for zip files with AES-256, so the Terminal is required. 

  1. Place your CDS export file on your Desktop or in a folder such as Documents for each access. 
  2. Press Command + Space and type “Terminal”, then hit Enter. 
  3. Use the following syntax to run the encryption command. 
    • zip -e cds_export_encrypted.zip cds_export.xml 
    • Replace “cds_export.xml” with the actual name of your file. 
  4. You will be prompted to: 
    • Enter a password 
    • Verify the password 

 

Export for a Specific Patient Only? 

To export a single patient’s data; 

  1. Open the patient’s chart and navigate to the “Details” page. 
  2. Click the Export to button from the chart menu. 
  3. Select the export categories and click the Export button to run the export. 

 

Tips and Best Practices 

  • Coordinate with your IT administrator when performing large exports. 
  • Always encrypt sensitive data before transferring or storing externally. 
  • Contact Juno Support if you require a bulk export for EMR transition or audit purposes.
